Recruitify LLC (“Recruitify,” “we,” “us,” or “our”) operates RecruitifyHQ. RecruitifyHQ is an internal business operating system used exclusively by Recruitify LLC and is not offered as a public software service.
RecruitifyHQ is used solely for Recruitify LLC’s internal recruiting operations, business intelligence, workflow management, and financial reporting.
This Privacy Policy explains how RecruitifyHQ collects, uses, stores, and protects information, including information accessed through third-party integrations such as Recruiterflow and QuickBooks Online.
1. Information We Process
Depending on the features used, RecruitifyHQ may process business contact information; recruiting information including candidate records, resumes, searches, applications, interviews, offers, placements, notes, activities, and communications; client and business-development information; productivity information; financial information from authorized accounting integrations; integration information; and technical information necessary to operate and secure the application.
RecruitifyHQ is not intended to collect consumer payment-card numbers, online banking credentials, Social Security numbers, or other highly sensitive personal information unless expressly required and appropriately protected.
2. How We Use Information
We process information to operate and maintain RecruitifyHQ; manage recruiting, candidate, client, search, placement, and business-development workflows; track recruiter productivity and business activity; present financial and operational summaries; identify records and activities that may require attention; match candidates with relevant searches and business opportunities; maintain activity histories and business records; connect with authorized third-party services; protect the application, diagnose errors, prevent misuse; and comply with legal, accounting, contractual, and regulatory obligations.
RecruitifyHQ does not sell personal information. Information accessed through Recruitify LLC’s connected accounts is used only for Recruitify LLC’s internal operations and is not shared with unrelated organizations.
3. QuickBooks Online Integration
When authorized Recruitify LLC personnel connect QuickBooks Online, RecruitifyHQ may access accounting data needed to provide financial summaries, including company information, accounts, balances, invoices, payments, expenses, and financial reports.
RecruitifyHQ’s QuickBooks integration is designed for read-only financial intelligence. It does not create, edit, or delete QuickBooks accounting records. Requests used to exchange or refresh OAuth authorization tokens may use the methods required by Intuit’s authentication system.
QuickBooks credentials are not collected or stored by RecruitifyHQ. Authentication is handled through Intuit’s OAuth authorization process. RecruitifyHQ may temporarily retain access and refresh tokens as necessary to maintain an authorized connection. Recruitify LLC may revoke access through RecruitifyHQ or its Intuit account.
QuickBooks data is used only to provide financial reporting and business-intelligence functionality for Recruitify LLC. Intuit’s handling of information is governed by the Intuit Global Privacy Statement: https://www.intuit.com/privacy/statement/
4. Recruiterflow Integration
When Recruiterflow is connected, RecruitifyHQ may retrieve candidate, company, job, application, and related recruiting information from Recruitify LLC’s authorized Recruiterflow account. RecruitifyHQ treats Recruiterflow as a read-only source. RecruitifyHQ does not create, edit, delete, archive, move, or otherwise modify production records in Recruiterflow.
Recruiterflow information is used to identify relevant candidates, possible matches, duplicates, future opportunities, and records that may deserve review.
5. Other Third-Party Services
RecruitifyHQ may connect with other services authorized by Recruitify LLC. Third-party services operate under their own privacy policies and terms. We do not control the availability, security, or independent data practices of third-party services. A provider may modify or discontinue an integration or API without notice.
QuickBooks and Intuit are trademarks or service marks of Intuit Inc. Recruiterflow is a trademark or service mark of its respective owner. RecruitifyHQ is not sponsored or endorsed by these providers unless expressly stated.
6. Legal Bases and Authority
RecruitifyHQ is an internal business application. Recruitify LLC processes information as necessary for legitimate recruiting and business operations, to perform contractual obligations, to comply with legal obligations, and, where required, with consent. Recruitify LLC is responsible for ensuring that it has a lawful basis and appropriate authority to enter, access, or connect information involving candidates, contacts, clients, employees, and other individuals.
7. Storage and Security
RecruitifyHQ uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, alteration, disclosure, or destruction. Depending on deployment and configuration, application data may be stored locally on an authorized Recruitify LLC device, within browser-based storage, in encrypted backups, or through approved service providers. Third-party integration credentials and tokens are handled separately from ordinary application data where practical.
No security measure can guarantee absolute security. Authorized Recruitify LLC personnel must protect their devices, accounts, passwords, and access credentials.
8. Data Retention
We retain recruiting, business, financial, and operational information for as long as reasonably necessary to support Recruitify LLC’s business operations; maintain recruiting and relationship histories; meet contractual, accounting, tax, legal, and compliance obligations; resolve disputes and enforce agreements; and maintain authorized integrations. OAuth tokens are retained only while needed to support an authorized connection or until they expire, are revoked, or the integration is disconnected.
Data obtained from a third-party integration may be refreshed, replaced, or removed when the connection is disconnected, subject to legitimate recordkeeping and legal obligations.
9. Data Deletion and Integration Disconnection
Recruitify LLC may request deletion of information using the contact details below. We will evaluate requests subject to applicable law, contractual requirements, legal holds, and legitimate business-record retention needs.
When a QuickBooks or other third-party integration is disconnected, RecruitifyHQ will stop requesting new information from that provider; available authorization tokens will be deleted or allowed to expire; previously displayed or cached information will be deleted within a reasonable period unless retention is required for security, legal, accounting, backup-integrity, or legitimate business purposes; and data remaining in the third-party service must be managed through that provider.
Backup copies may remain until they are replaced through the normal backup-retention cycle, after which they will be deleted or rendered inaccessible. To request deletion or disconnection assistance, contact marcus@recruitifycareers.com.
10. Disclosure of Information
We may disclose information to authorized Recruitify LLC personnel and contractors who need it for legitimate business purposes; to service providers supporting application hosting, security, maintenance, or integrations; when required by law, subpoena, court order, or regulatory request; to protect the rights, property, or safety of Recruitify LLC, its personnel, candidates, clients, or others; and in connection with a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate safeguards.
We do not permit service providers to use information for unrelated purposes.
11. Privacy Rights
Depending on applicable law, individuals may have rights to request access, correction, deletion, restriction, or a copy of their personal information, or to object to certain processing. Requests may be sent to marcus@recruitifycareers.com. We may need to verify the requester’s identity and authority before responding.
Because RecruitifyHQ processes information in a business and recruiting context, certain records may be exempt from a request or retained where permitted or required by law.
12. Changes to This Policy
We may update this Privacy Policy as RecruitifyHQ, applicable law, or our business practices change. The revised policy will display an updated effective date. Material changes may be communicated to authorized Recruitify LLC personnel through the application or another reasonable method.
